Valuations Administrator | Donnington Priory

Provide administrative support to the Valuations Department and assist with management of consignments to ensure a high level of service through to completion, as well as day to day client service.

Valuations

• Act as a primary point of contact for Valuations enquiries, dealing with them all professionally and efficiently, to field the enquiries and gather the initial information required to discuss with the Head of Valuations the appropriate action required.
• Capture the source of clients for reporting purposes.
• Organising Valuation visits, and co-ordinating with specialists’ diaries and liaising with specialist’s post valuation to ensure timely submission of notes.
• Input valuation notes swiftly and accurately into the company’s database.
• Liaising and chasing Specialist’s to ensure efficient and accurate inputting of valuations and timely output.
• Create high quality valuation documents within agreed deadlines/standards, initial draft to specialist, draft to client, then send final document and invoice to client.
• Track/manage the progress of Valuation(s) from beginning to end, overseeing quality control and ensure they are produced to deadlines.
• Manage the Valuations inbox ensuring all emails are responded to in a timely and professional manner.

• Refer clients where necessary to the HOD.
• Ensure reporting to finance regarding consultant invoices.
• Support colleagues with the management/delivery of specialist/large valuations as necessary.

Consignments

• To work with the Consignment Co-Ordinator and Business Development team to ensure the smooth process for client consignments through to completion. This is mainly for jobs via the Estates and Collections department, Mixed discipline jobs and jobs via agents.
• Scheduling deliveries in Navision, monitoring the progress of the deliveries and ensuring they are seen through to being cleared to sale by the relevant parties, chasing up where required.
• Creating standard receipts from valuation receipts.
• Preparing vendor statements for clients and agents.
• Checking and sending receipts and ensuring all terms are correct.
• To work with the Business Development team to nurture relationships with agents and private clients and to track consignments through to completion, providing regular update reports where required.
• To assist with arrangements for collection and ensure where goods are collected from these consignments, that the database is updated correctly.

Warehouse Manager | Hambridge Lane & Greenham Business Park

Key Responsibilities

Warehouse Operations

• Manage day-to-day warehouse operations with full accountability for all incoming deliveries.
• Ensure received goods (consigned and non-consigned) are logged accurately on the same day.
• Store items/consignments according to upcoming sales and scan them to the correct location.
• Maintain 100% accuracy of item locations to support cataloguing, photography, transport, and sale operations.
• Maintain 100% item-location accuracy during monthly stock checks.
• Ensure all items arriving are correctly identified and located, and any discrepancies resolved within 24 hours.
• Create receipts and collection dockets, obtain client identification upon of receipt/request for Fine Furniture, Interiors, and Pictures departments.
• Maintain accurate digital and paper records for audit, consignment, and compliance purposes.
• Take action to ensure that sold items/consignments are not held in storage.
• Responsible for collaboration with departments and specialists to ensure productivity and efficient operation of the warehouse.

Health & safety

Responsibility for Health and Safety at the Warehouse and Donnington Priory.

Collections & Auction Support

• Coordinate efficient/timely two-way transfers between Hambridge Lane and Donnington Priory.
• Ensure stock movements are accurately recorded and updated daily.
• Facilitate and coordinate collections of sold and unsold lots across Furniture, Interiors, Collections, Pictures, and Wine departments.
• Ensure professional, timely customer service for all collectors, carriers, and internal specialist teams.
• Ensure items are ready, located, and accessible for auction sales.
• Attend monthly Head of Department meetings.

Required Skills

• Proven track record as Health and Safety Manager.
• Proficient computer skills.
• Experience with Navision preferred.
• Excellent communication and interpersonal skills.
• Strong organisation and time management skills.
• Good physical fitness.
• Confidence carrying furniture solo and with a colleague.
• Forklift truck driving experience preferred.
